As the students start to return, we invite you to revisit the information that is available on the ILDS website. Detailed ILDS instructions and the ILDS participant training slides are useful tools for training new staff on the label making process. Review the current list of ILDS participants.
Labeling Bags for Delivery
Please check 3-letter codes carefully when labeling bags for ILDS delivery. Many school names sound similar, or have similar ILDS codes. We continue to receive reports of bags that are delivered to the wrong location because they were mislabeled resulting in delayed delivery for our patrons. Please refer to the list often to ensure that all staff are aware of the locations that are direct stops, as well as the proper code to use.
The CARLI delivery staff and the Preservation Working Group have developed a best practice for the packaging of fragile or expensive materials that travel in ILDS.
Although ILDS delivery bags (both purple and canvas) offer a measure of protection, libraries should not depend upon the bag alone to safeguard items such as audio or video tapes, CD's, DVD's, Blu-ray disks or other fragile and/or high-value items. Materials being transported in ILDS (or any physical delivery service) are handled several times by library and courier staff members and travel in several vehicles both coming and going. While the courier stresses the need to handle library materials appropriately, individual drivers and sorters have no idea what is in any specific bag. Consider the likelihood of damage if you place a single DVD in a thin plastic jewel case in an ILDS bag, just as you would when mailing similar items through the Postal Service or UPS without adequate protection.
CARLI is now collecting library closure dates only for the months of May, June, July, August, November, and December, when many libraries change their schedules for extended periods. We are currently collecting information about upcoming location closures. Please complete the latest closure survey by March 27th. If your location will be closed for any length of time, other than the months we are collecting closure dates, send an email to support@carli.illinois.edu.

In an effort to keep our ILDS contact list up to date, please take some time and look at the list that is posted on the ILDS web site. It is important that we keep this list updated so that you know who to contact in case there are any problems. If you notice any incorrect information, please let us know by sending an email to support@carli.illinois.edu.
Center for Research Libraries Added Beginning February 2
We are pleased to announce that starting February 2, 2009, the Center for Research Libraries (CRL) will be joining ILDS as a direct stop. We have added them to the dropdown in the label making system, but please do not send any material directly to them via ILDS, until after February 2, 2009. Please join us in welcoming them to ILDS.
ILDS Closure Dates
Starting this year, we will be changing the way we collect your closure dates. We will no longer be collecting them quarterly. Instead, we will be collecting only the dates you are closed during the summer months, and the holidays in December. If your location will be closed for any length of time, other than the months we plan to collect closure dates, please send an email to support@carli.illinois.edu to let us know.
January 19th a Non-Service Day
Martin Luther King Day, Monday, January 19th, is an ILDS non-service day. Regularly scheduled delivery service will resume Tuesday, January 20.
Best Practices
CARLI's delivery staff is in the process of developing some Best Practices when it comes to the packaging of A/V materials. We are also looking into ways to "tag" the bags that contain more fragile items. The January 16th issue of the CARLI newsletter includes tips from the CARLI Preservation Working Group: Protecting Interlibrary Loan Materials from Damage that will help to ensure that your loaned materials travel safely on ILDS.
ILDS Non Service Dates Updated
We have received many revisions to the December 2008 closure list over the last several weeks. The vast majority of sites have indicated that they will be closed on December 31. As a result, we have added December 31 as an ILDS Non-Service day for 2008.
The following days are the days that ILDS will not be providing delivery service. Please pass this information on to your delivery staff. CARLI staff will be available to respond to questions, and coordinate with Lanter on any regular service day not listed below.

First Quarter Closure Dates
If you have not already done so, please complete the survey for the 1st quarter (January - March 2009) dates that your location will be closed.
Editable ILDS Paper Label
A new, editable version of the ILDS paper label is now available at http://www.illinoisdelivers.net/docs.html. This new label allows editing of the "From" field. If you're posting or using an older version of this label this would be a good time to update your files.
New ILDS Non-Service Days
The vast majority of ILDS sites will be closed on November 28, December 24, and December 26, 2008. In order to reduce the number of bags in the system that can't be delivered to closed locations, we have notified Lanter that there will be no ILDS service on these days. Please mark your calendars, and inform your staff of these "no service" days.
First Quarter 2009 Closure Dates
CARLI staff are now collecting dates ILDS libraries will be closed for the first quarter, January 1-March 30, 2009. These are the dates when there will be no library staff present to send or receive delivery items, rather than the days the library may be closed for students and the public. Please respond to the survey no later than November 21, 2008, so that we can let Lanter know about those sites that will be closed for an extended period after the holidays. CARLI libraries may now request additional locations for direct ILDS delivery service beginning January 1, 2009. Institutions that are interested in adding one or more of their locations for ILDS delivery should fill out the Delivery Location Request Form and return it to CARLI via fax or mail no later than December 1, 2008. The cost for each added stop is currently $3,250 per year. Stops added on January 1, 2009 will be billed for six months service for the period January 1-June 30, 2009.
Incoming Delivery Manifests
Lanter Delivery Systems has implemented a new process that creates a daily incoming manifest for ILDS sites. Lanter is now scanning the barcode that appears on the labels that all sites use to ship ILL items. Lanter is using this information to produce a manifest that the driver will provide with each incoming shipment. The incoming manifest contain information on each bag that is delivered, such as bag number, scan date, and where the bag was sent from. A few areas of the state are still not receiving incoming manifests but should expect to see them in the near future.
To report any discrepancies between what is listed on your manifest and what is received or to offer feedback on the incoming manifests, email support@carli.illinois.edu with a subject line of Incoming Manifest.

These are the dates when there will be no library staff present to send or receive delivery items, rather than the days the library may be closed for students and the public. To designate your closure dates, please complete the online survey no later than September 4, 2008.
Have you tried the new statistics feature available on the ILDS website? Use this new feature to find out how bags or items were set to you or sent by you to any other ILDS participant or group of participants. You can also specify a range of dates for the report, for a day, a week, a month, etc.. We will soon be announcing the ability to export these statistics in Excel (.xls) or Comma Separated (.csv) file formats. This will make it possible for you to manipulate the data to suit your needs. We are very interested in any comments or feedback you would like to send us on this new feature. Please feel free to send me a note or post a comment to the ilds-ig@carli.illinois.edu list.
There are a few changes to the list of new ILDS participants that will begin service on July 1. The following institutions will begin participating in ILDS on July 1:

CARLI will provide training for the new ILDS system by webcasts on June 24 and June 27. Each webcast will run approximately 90 minutes and each will cover the same material. Some libraries are still reporting seeing old ILDS data on interlibrary loan requests generated by Illinois libraries in OCLC. If you have not already done so, please be sure (or ask a colleague who works with OCLC interlibrary loan) to update your old ILDS address in OCLC constant data to your current ILDS 3 letter code. Your fellow libraries will thank you!
We know this is a busy time for you all as the students return materials and dash out of town. We've also know this is getting into prime vacation season and we've had a few emails from staff who were filling in on the ILDS labeling front for colleagues who were away. Be sure your replacement knows the label system password for manifest creation before you leave town, and be sure they know that they can always email us at support@carli.illinois.edu if they run into any trouble or confusion.
CARLI is now inviting ILDS participant libraries to add locations for direct ILDS delivery. Institutions who are interested in adding one or more of their sites as a direct ILDS stop should fill out the form and return it to CARLI via fax or mail (fax number and address on form) no later than May 1, 2008. The annual cost for each added stop is $3,250.
CARLI will also be adding stops to accommodate new members. All new locations will begin receiving ILDS delivery on July 1, 2008.
Delivery Bags
The new larger delivery bags have arrived. The new bag is made out of the same material and color as the purple bag you are used to seeing. The bag dimensions are 16” X 22”, with a 6” expandable bottom and a carrying handle.
We encourage you to use the new larger bags, or the older ILDS canvas bags to send larger shipments to a particular site. You can request these bags in the same way you request purple bags using the ILDS-IG@carli.illinois.edu. Please specify that you need the larger/canvas bags. If you also need the luggage tags to hold labels and loops to secure the tags to the canvas bags, send a request to support@carli.illinois.edu.
CARLI has ordered an additional 5,000 small purple bags, and 1,000 of the new larger bag. The delivery date for the additional bags is still undetermined.

Routing Materials to Branch Campuses
Argosy University in Chicago, a direct ILDS stop, continues to receive many items that are meant for the Schaumburg campus, which is NOT a direct ILDS stop. If you have items that need to go to Argosy University in Schaumburg, please use the paper routing label to forward them to their regional library system, North Suburban Library System (NSL), with Argosy University – Schaumburg written in as the final destination.
Overdue Notices and Other Communications
We are still receiving reports of overdue notices and other communications being sent via ILDS. Please remember that sending notices via ILDS is not permitted. These notices should be sent through the US Postal Service, as directed by the Illinois State Library. We have been asking sites that receive overdue notices through ILDS to return them to the institution that sent them. Please refer to the CARLI/I-Share Best Practices on Library Notice Distribution document.

Attendance of these sessions is optional, and registration information will be coming soon. The bulk of each session will be devoted to your questions.
Revised Delivery Schedle Now Available
A revised delivery schedule has been posted at http://www.illinoisdelivers.net/schedule.html. Assuming weather problems have subsided, please monitor your delivery time next week or so, and report any significant deviations from the revised schedule to the ILDS Program Coordinator at support@carli.illinois.edu.
Labeling Reminders
Spertus Institute of Jewish Studies in Chicago has reported that many of their delivery items are still being sent to Columbia College, which served as their pick-up location prior to starting the new ILDS. Please note that the Spertus Institute is a direct stop in the new ILDS, so items should be sent directly to them. Several other schools have also reported items misdirected to old drop locations or to regional systems, when they should be going directly to the ILDS library. This adds at least a day to the transit of materials. we encourage you to review the list of ILDS direct participants at http://www.illinoisdelivers.net/memlist.html . When in doubt about an academic library’s delivery status, please check the list. Your colleagues will appreciate your effort to get materials to their students as quickly as possible.
Thank you to those of you who have already sent emails in to CARLI support saying that your site will be closed today. Due to the severe winter weather Lanter has reported that that delivery will be spotty across the state today. For those sites that are open, please be aware that delivery will be running behind schedule. Some sites may not receive any delivery today. Regular service is expected to resume Monday, February 4 as scheduled.
ILDS Labels
Lincoln Trail Library System reports that they are still receiving many
items meant for Eastern Illinois University (EIU), and University of
Illinois at Urbana-Champaign (UIU). Please remember that these two
sites are direct stops in ILDS so items should be sent directly to them
rather than sending them to their regional library system first.
ILDS-ig Listserv
As mentioned in Monday’s update, CARLI has established a new ILDS
listserv entitled ILDS Interest Group or ILDS-ig. Many of you have
joined the new listserv and are using it to request bags from your
colleagues. Here is an example of a subject line that you can use when
sending requests:
Elmhurst (ELM) needs # purple bags.
The discussion listserv mentioned in the previous update has been established. The primary ILDS contact for each institution is subscribed to the list. All others are welcome. To subsribe to the new ILDS-ig listserv, complete the form at http://carli.illinois.edu/mailman/listinfo/ilds-ig. Please use this listserv to share helpful tips on processing materials for delivery and to ask questions of your colleagues. The ILDS-ig listserv can also be used as a mechanism to request bags from other ILDS sites. ILDS-ig will not replace CARLI’s online support system (support@carli.illinois.edu). If you have excess bags, they can be sent directly to the Illinois State Library for storage and redistribution.
ILDS Open Discussion Listserv
CARLI is establishing an open discussion listserv for ILDS. The
original list will be set up with the designated contact for each ILDS
location. All library staff is welcome to join the discussion list.
The list will offer a good forum for ILDS users to discuss the new
system. Please use this list as an additional resource to request bags
from other ILDS sites. Additional information will be provided soon.
ILDS Bags
The State Library’s order of purple bags has been completely
distributed. A reorder is in process. All requests for bags will be
filled with canvas bags until we receive more purple bags. If you have
an excess supply of bags, purple or canvas, please send them to the
Illinois State Library. Please use an item count of 1 on the label
regardless of the number of bags you are sending in one bag.
In reviewing the closure dates that libraries provided in the fall, the vast majority will be closed on Monday, January 21, 2008. Therefore it has been determined that the 21st will be a non ILDS service day. Regular delivery service will resume on Tuesday, January 22, 2008.
ILDS Supplies
We’re still receiving several requests a day for bags. In order for
the system to work most efficiently on a continual basis, it is
important for sites that have an excess supply of bags to put them back
into the system. Please send any excess bags directly to the Illinois
State Library (ISL) using an item count of 1 in the label system,
regardless of the number of bags in each bag. You should continue to
send supply requests directly to CARLI at support@carli.illinois.edu.
As we noted in the ILDS update last week, we are making some adjustments to the delivery schedule in response to service issues that have been reported. Many of these issues have been resolved over the past several days, and we expect that trend will continue. Lanter is currently reviewing an adjusted schedule. We'll post the revised schedule to the web site as soon as it is available. Please continue to contact support@carli.illinois.edu with any questions or to report and service issues.
Lanter Delivery Systems, Inc. has finalized the schedule of delivery times for the 143 participating sites in the Illinois Library Service (ILDS) that will begin operation on January 2, 2007.
